Registration and crew lists

Open entries, ask what you need to know, collect documents, approve entries and keep crew lists current.

Registration is free for every entrant. There is no fee step and no payment screen, so a competitor's entry is finished when they submit it and you approve it.

Open registration

Competitors can enter while the event's status is Registration open. When you submit the event for review you confirm that it should be published with registration open, and approval does both. Set the status to Registration closed in the race office when entries close, and back to open if you take late entries. Competitors need to be signed in to enter; each account enters one boat.

The entry form asks for the boat name, the skipper, the sail number and the class, which are required, and optionally the design, year, club, home port, hull colour, length and draft. A sail number keeps its letters and leading zeroes (KC 22, 0420). If the event has one class it is chosen for the entrant. A sail number already entered in the event is flagged before the entry is saved.

Saildex does not cap entries per class. When you need to hold boats back, put their entries on the waiting list and approve them as places come free.

Questions

Add the questions you need answered: berthing needs, charter details, the skipper's class membership number, or who has paid the club's entry fee. Mark each as required or optional. Answers appear on the entry in the race office and are never public.

Required documents

Add the documents each entrant must provide, such as a rating certificate, proof of insurance or a measurement certificate. Entrants upload them from the event's entry page after they enter. An entry with an unanswered required question or an outstanding document stays pending, and the registrations list says what is missing.

Saildex does not collect waivers. If your event needs one, add it as a required document or collect it the way your club does now.

Approving entries

New entries arrive as pending. On the Registrations tab, approve one, put it on the waiting list, decline it, or ask the entrant for more information. Approving, waitlisting and asking for information email the skipper with your note and a link back to the entry. Entries you add yourself on the Entries tab, or import from a spreadsheet there, are approved as you add them; the import needs a Class column when the event has more than one class, and takes optional Design and Email columns.

Only approved boats with a class race: pending, waitlisted and declined entries stay off the finish console, the check-in and safety lists, the scratch sheet and the scoring.

Contacts

Each entry has a skipper contact email: the entrant's own account when they register, or the address you give when you add the boat. Messages from the event, and decisions about the entry, go to that address. Replies reach the club's contact email. The Communications tab lists boats with no contact address so you can fill them in.

Ratings

For handicap classes, the scorer enters each boat's rating for the class's handicap system, or imports an ORC certificate, and reviews it before it is used. Lock ratings before racing starts. See handicap systems.

Crew lists

The race office adds crew to each entry, by name and position, and can link a crew member to their Saildex account by email. Names and positions appear on the event's public crew list; email addresses and phone numbers never do. See data, privacy and retention.

The boat's owner account, the skipper and linked crew members can open the entry's questions and documents, and can file a hearing request for the boat.

Crew lists change up to the last minute. The registrar, race officer and safety officer can see the current list at any time from the race office, and print it for the committee boat.

Check-in

Registration check-in confirms a boat has arrived and is ready to race. Signing boats out and back ashore is part of race day.
