Data, privacy and retention

What Saildex stores about organizers, entrants and crew, what is public, and how long it is kept.

Results are public by sailing convention: the boat, the people sailing it, and where they finished. Contact details and registration answers are not. This page lists which is which. The privacy notice is the short version.

Public

Shown on event pages, in exports and in the event data feed once the event is approved:

  • the event: name, dates, venue, club, classes, schedule, documents and notice board posts;
  • entries: boat name, sail number, design, skipper, club, home port, class and rating;
  • crew lists: each crew member's name and position;
  • results: places, points, times, codes and the decisions that changed them;
  • hearings: the schedule, the parties by boat, and the decisions.

Once an event's final results are published, it also joins the Saildex results archive and the sailor index, alongside results archived from other scoring sites.

Private

Visible only to the event roles that need them and to club admins, never on a public page or in the feed:

  • email addresses and phone numbers;
  • answers to registration questions;
  • uploaded documents such as insurance certificates, unless the organizer publishes them;
  • the text of hearing requests. The public hearing notice gives the time, place and parties; a published decision gives the facts the committee found;
  • rule 69 reports and hearings, which are never published.

No payments

Saildex Regattas takes no payments, so it holds no card or bank details for anyone.

Retention

  • Results, names on results and sail numbers stay public as the record of the competition.
  • Entrant and crew contact details (emails, phones and any emergency contacts) and registration answers are kept until the organizer deletes the entry or event, or the person asks Saildex to delete them.
  • Uploaded documents are kept with the event.

To have your contact details removed, or to have your name shown differently on Saildex, email support@saildex.com. A sailor can also claim their Saildex profile and report results that are not theirs from the profile page.

Email

Saildex sends email for sign-in links, review decisions, role invitations, hearing notices, entry confirmations, notice-board posts the organizer chooses to email, and the organizer's messages to entrants.
