Publication review

Why clubs and events are reviewed before they are public, what reviewers check, and what happens after approval.

Every club and every event is reviewed by a person before anything about it is public. Review keeps Saildex free of spam and of fake events, which a free service with public pages would otherwise attract.

Review states

State Meaning
Draft An event being set up. Only its organizers can see it.
Pending review Submitted. Organizers can keep editing; reviewers see the current version.
Approved Public, with registration open. Edits go live at once, except identity edits (below).
Rejected Not published. The email explains why; fix it and submit again.
Suspended Taken down after approval. Organizers can still see it and are told why.

A club is submitted for review as soon as it is created; an event is submitted from its overview in the race office when you are ready. An event cannot be approved while its club is not approved. An approved club's later events still need their own review.

Identity edits go back to review. Changing an approved event's name, description, website, club, organizing authority or contact email, or any of an approved club's own details, returns it to Pending review, and it is not public until a reviewer approves the change. Other edits (entries, documents, notices, races, results) go live at once. Events imported from other scoring sites are not hosted events and never enter review.

What reviewers check

For a club:

  • It is a real sailing organization: a club, association, class, school team or sailing centre.
  • The name is the organization's own, and its website and contact email belong to it.

For an event:

  • It is a sailing event the club is running or scoring.
  • The dates, venue and classes are plausible, and the description is about the event.
  • It carries no advertising for unrelated products, no links to unrelated sites, and nothing offensive.

Reviewers do not check the notice of race against the racing rules or judge how the event is run.

How long it takes

A person decides every submission; nothing is approved automatically. We email you when yours is complete, so submit well before you want registration to open.

Notifications

The reviewers are emailed when you submit. You are emailed the decision, with the reviewer's note if the submission is rejected.

Before approval

Until an event is approved, its pages are visible only to its organizers, and links in its description are shown as plain text rather than as links.

Suspension

A reviewer can suspend an approved club or event, for example after a report of spam or impersonation. Its public pages are taken down and its organizers are told why. Results already published stay on record unless they are themselves the problem.
